Manage your artworks with Notion (for free)

Artist buddy… how do you keep track of all your artworks?

How do you know which pieces you already minted as NFT?

Can you see the big picture and scroll visually through all?

Easily search and filter and create a new page for a new exhibition or theme?

This post is for you…

I’ve made 370+ analog and digital collages since 2003 and logged all into a single spreadsheet with the basic info: year, title, description/sources, sizes, medium, sold/gifted, exhibited, …

and I also keep a folder with my high resolution JPGs and PSD/Affinity files on my laptop, 2 external HDs and a backup on amazon’s S3 deep glacier, grouped in yearly folders:

Both tools are pretty useful but i was missing the big picture… seeing all my collages, filter by type, by year, finding themes and tendencies, and also sharing it with the world. Enter Notion:

Think of Notion as a mix of a wiki, easy-AF editable website, google docs and spreadsheet all-in-one. And the free personal tier is amazing, main issue might be the 5MB upload limit, but you can try it out good before buying, its pretty cheap too (btw, i’m not paid by notion to write this, and am still using the free version).

So, last year (2020), i imported my original google sheet into notion, uploaded preview images to each ‘cell’ (which is actually one page in itself) and played with some of their different views of the same database (as table, board or gallery), which turned into my new website.

(little hack: since notion doesn’t accept personal domains, from https://iuri.art.br, you enter into a carrd.io page (pretty cheap), and after clicking ‘enter’, you get into the notion page).

So I can still see my collages as a spreadsheet/table, like google sheets:

But now, i can create a new view, as gallery with the images, and filter only the collages that i tagged with “For sale (cryptoart)”:

Or create another view, only filtering the collages from my new and beloved ‘stairs’ theme:

So I have currently 21 views of the same data, filtering by type, theme, year, etc.

I’m still using the google spreadsheet (mostly as a backup from notion), which i update once a year.

Another cool thing, is that i created another, duplicate Database in notion where i start my collages. I duplicated the structure and moved into my private pages, so i don’t share my unfinished work. Now, with one click, a template already creates a new page, fills in year: 2021, type: digital collage..:

And when i finish the collage, i just move this page into the public database, add it to the google sheet, make backups on iCloud, blablabla… (need to automate this soon!)

- signup/login and import this into your notion.
